LA INFORMACION NO ES NECESARIAMENTE CONOCIMIENTO
Datos, capta, información, conocimiento Según Checkland (1998) el objetivo básico de un sistema de información debería ser “proveer adecuadamente de datos e información a la organización, mediante el uso de tecnologías de información, siendo esa información relevante para las actividades continuamente cambiantes de la organización y/o sus miembros”. Se han señalado en cursiva los conceptos fundamentales de esta definición que serán tratados en este apartado. Para empezar, sería preciso entender bien qué es la información, si es que la tenemos que manejar mediante tecnologías. Pero en este punto todavía no podemos ser muy optimistas, porque la verdad es que nuestro grado de comprensión sobre lo qué es la información es limitado. Quizás el primer problema es que no podemos separar la información y el conocimiento de nuestra propia actividad mental. O sea, resulta difícil estudiar algo que no es objetivable: la información y el conocimiento es una actividad humana, algo que ocurre en nuestra mente. Lo dejaba muy claro Branscomb (1995) cuando definía la información como “la representación simbólica, en cualquier forma, de materiales creados por la inteligencia humana e inteligible por cerebros humanos”. Que la frase contenga términos como representación, simbólica, humano, inteligencia, inteligible, o cerebro, da una idea de hasta qué punto resulta complejo entender con qué tipo de “objeto” nos estamos enfrentando. Y si entender qué es la información es difícil, no resulta, por tanto, extraño que manejar información sea una actividad aún poco comprendida. Datos Entendemos por datos los “resultados de nuestras observaciones sobre el estado del mundo”. Son normalmente el resultado de medidas aplicadas a hechos concretos, o de valores aplicados unívocamente a acontecimientos u objetos. La temperatura en la habitación en estos momentos, el número de teléfono de nuestro ayuntamiento, el resultado de un partido de fútbol, y también las ventas realizadas a un cliente concreto, son ejemplos de datos. Los datos reflejan, por tanto, hechos ocurridos en la realidad. Y tienen dos características distintivas. Primero, los datos quedan perfectamente identificados, sin posibilidad de confusión, por conjuntos de símbolos (básicamente letras y números). Y, segundo, son contrastables, es decir, es posible determinar si el dato es cierto o no, de manera indiscutible; hay, por 1

ejemplo, una manera “clara y distinta” (à la Descartes, diríamos) de determinar cuál es la temperatura en la habitación en estos momentos, o de determinar quién ganó ayer tal partido de fútbol, o de encontrar cuáles fueron las ventas a tal cliente durante el pasado mes. Los datos gozan de un elevado nivel de estructura, es decir, la posibilidad de confusión en la comunicación de los mismos entre emisor y receptor, es mínima; las ventas a tal cliente han sido tanto, sin ninguna posibilidad de interpretación. En todo caso, si se presenta tal confusión será porque hay un problema de calidad comunicacional en el medio utilizado (por ejemplo, la línea telefónica utilizada para transmitir un dato puede fallar), o porque alguna de las partes utiliza unos símbolos para transcribir los datos que el otro no entiende (por ejemplo, el dato puede corresponder a la medida de un fenómeno físico, y ser medido en una unidades que el receptor desconoce). El que los datos tengan una estructura tan clara, el hecho de que sean totalmente transformables en una cadena de bits, y que nada si pierda (si no hay error en la transmisión) entre emisor y receptor cuando se transmiten todos estos bits, hace que sea fácil capturar, almacenar y transmitir datos mediante tecnologías de la información. De hecho, las tecnologías son muy útiles cuando se aplican al manejo de datos, hasta el punto de que algunos expertos consideran que la “informática” debería seguirse llamando “proceso de datos”, como en sus principios. Capta Se acostumbra a decir que en la progresión de los conceptos informacionales, tras los datos viene la información. Checkland (1998), sin embargo, introduce entre ellos un concepto muy útil y atractivo que conviene comentar. En su opinión, la gran cantidad de datos existentes a nuestro alrededor, claramente en cantidad superior a la que podemos manejar, nos lleva a seleccionar sólo aquellos datos que son relevantes para las acciones en las que estamos implicados en un determinado momento. Si, por ejemplo, estamos estudiando el efecto del comercio electrónico en la banca, podemos recopilar montones de datos, procedentes de las más variadas fuentes. Pero la necesidad de supervivencia informacional (la prevención de la infoxicación) nos hace seleccionar de todos los datos accesibles aquellos que más relevancia nos aportan. Esta pequeña parte de los datos existentes a los que prestamos atención recibe el nombre, propone Checkland, de capta. Así, mientras la etimología de datos (del latín, dare: dar) nos indica que son algo que se nos da, algo que existe y al que tenemos alcance, la de capta (del latí, capere: tomar), indica que de todo lo existente tomamos sólo aquello que nos es de interés, que nos es relevante.

Checkland también advierte que “la conversión de datos en capta es un proceso mental muy habitual, tan habitual que nos es totalmente transparente”. En otras palabras, la gran cantidad de datos con los que debemos trabajar nos lleva automáticamente a rechazar parte de ellos para concentrarnos en los que nos aportan más relevancia en el momento y la situación concreta en la que nos encontramos. Y la selección se hace de acuerdo con nuestras habilidades cognitivas, con nuestra capacidad para detectar qué nos interesa y qué puede ser considerado como accesorio en esa circunstancia concreta. Personas distintas escogerán distintos grupos de datos como su capta personal. De hecho, ser capaz de escoger los datos adecuados de entre todos los accesibles es una habilidad informacional muy importante, en especial en cualquier área de creatividad científica. Es una habilidad que depende del marco cognitivo de la persona (lo que sabes te permite identificar qué datos son los importantes), pero que puede ser desarrollada con un adecuado entrenamiento, parte de lo que hemos denominado “cultura informacional”.
Información Con los datos que hemos seleccionado, hemos construido nuestra capta. Esta primera selección ya ha añadido valor a los datos accesibles. Pero el verdadero valor proviene de poner la capta en nuestro contexto personal o colectivo, en el ámbito de lo que nos interesa en un determinado momento y situación, de lo que sabemos, o de nuestro propósito, Este contexto nos permite dar sentido a los datos seleccionados, convirtiéndolos en información. En un determinado contexto, los datos nos servirán para algo; en otro contexto, su significado o utilidad puede ser otro muy diferente. Por tanto, somos las personas, en nuestro contexto concreto, las que damos sentido a los datos; así pues, somos las personas las que convertimos los datos (la capta) en información. Las máquinas manejan datos, pero no pueden crear información. Para que los datos se conviertan en información, alguien debe interpretarlos, darles sentido, de acuerdo con su contexto. Así, un directivo puede considerar que, de entre todos los datos de ventas de qué dispone, le conviene en un determinado momento seleccionar como capta los datos de ventas durante el último trimestre de un determinado producto, ordenados por áreas geográficas. Será el contexto del directivo (cómo quiere usar la información, que propósito persigue, qué quiere demostrar, sus prejuicios previos, etc), así como sus capacidades (cómo analiza los datos, cómo los enlaza con otros ya conocidos, cómo sabe extraer tendencias, cómo determina patrones, cómo elimina datos que no le sean relevantes para el objetivo en cuestión, etc) los que determinarán que esos datos le permitan generar información. Por ejemplo, de los datos podrá deducir cómo está respondiendo a su oferta la población de una determinada área geográfica, y de acuerdo con datos históricos, podrá interpretar si el lanzamiento del nuevo producto ha tenido éxito o no, o si los vendedores en esa área están haciendo un trabajo correcto o no.

Así, como señala Drucker, la información son “datos dotados de relevancia y propósito”, aunque deberíamos añadir, por y para alguien, porque sin la involucración de una persona los datos no conducen a información. De manera más radical, se ha llegado a decir que “es información aquello que informa a alguien” (Dervin 1977), de manera que si los datos no aportan nada, no “informan” a quién los recibe, no reducen su incertidumbre, no podría hablarse en realidad de información. En este sentido, recuperaríamos así el sentido más estricto de la etimología de la palabra información: dar forma (del latín “in formare”). Aunque lo anterior pueda parecer una elucubración estéril, la comprensión de la diferencia entre datos, capta e información es fundamental para el avance en el campo de la gestión de la información: •
Primero, porque la importancia del contexto de cada persona en el proceso de “in-formación” hace que una misma capta tenga significados distintos para distintas personas.

Segundo, porque es información sólo aquello que el usuario encuentra informante; datos que aunque relevantes no le aportan nada nuevo o nada que no podía predecir de lo que ya sabía, no son considerados información por el usuario. En este punto, la edición de la información, o sea, su presentación en un formato que sea de utilidad al usuario, tiene cada vez más importancia.

Tercero, porque mientras que los datos son muy fácilmente manejables por las tecnologías de la información (como hemos visto, el contenido de los datos es totalmente codificable en forma de cadenas de bits; nada se pierde si ningún bit se pierde), la conversión de datos en información es un proceso básicamente humano, aún no automatizable. Las tecnologías han resultado de gran utilidad para el manejo de datos, pero lo son menos para manejar información. En consecuencia, para que una organización tenga una buena gestión de la información son aún más importantes las personas que las tecnologías.

La primera reflexión es que estamos en un momento especialmente interesante en cuanto a nuestra comprensión de lo que es una organización. La visión más tradicional, la heredada de los ingenieros que “inventaron” el “management científico”, según el cual una organización es una máquina para conseguir unos resultados (unos inputs se transforman en outputs a través de lo que frecuentemente se describe como “una caja negra” –lo que ocurre en el interior de la organización), convive ahora con una visión más atrevida, según la cual una organización es una red de personas ligadas por “contratos” (de todo tipo, laborales, comerciales, emocionales, etc). Esta segunda visión, propuesta, por ejemplo, por la denominada “teoría de la agencia” (theory of the firm), nos lleva a la conclusión de que una organización es fundamentalmente una red de personas. Y como las personas son seres fundamentalmente informacionales (su relación con el mundo es informacional), entender la organización exige hoy entender sus flujos de información. Y entender los flujos de información es, aún, tremendamente complicado. Es preciso volver a recordar que la calidad de un flujo de información (y su eficiencia) depende de que en el mismo se “intercambie” información más que solamente se “transfiera”. La diferencia entre transferencia y transacción de información es crítica: mientras sigamos pensando en que la mera transferencia (yo hablo, tú escuchas, si quieres...) sirve para algo nos equivocaremos. El éxito de un flujo reside en que quién emite y quién recibe se comuniquen, de forma que sintonicen sus contextos y sus intereses. Por ejemplo, una clase magistral que intenta transferir una gran cantidad de conocimientos fracasa si no consigue motivar a su audiencia (es decir, si no sintoniza con sus intereses), mientras que una clase totalmente participativa puede ser un éxito gracias al diálogo constante de intereses y contextos personales. En muchas organizaciones, demasiadas, el modelo hoy seguido en sus sistemas de información es el de transferencia: se ofrece una gran cantidad de información que “se supone” que puede ser de interés para el “usuario” (que acaba no siéndolo, porque no “usa” lo que se supone que debería usar). Hay muy pocos sistemas informacionalmente de intercambio (un diálogo entre fuente y receptor), y así nos va... Pero también es cierto que existen fuentes que consiguen enganchar con una audiencia, con sus intereses intelectuales, y que por ello pueden tener éxito, aunque aparentemente utilicen un sistema de transferencia... Extra!-Net puede ser un caso (sólo emite uno...) aunque novedades que se acercan pueden aumentar la transacción con el lector... Las implicaciones que tiene para la industria de los contenidos la gran diferencia entre transferencia y transacción son muy variadas. Comentaremos aquí solo cuatro:

1) Será cada vez más fundamental que el receptor de la información (el “informando”) haga el esfuerzo de determinar qué información necesita. Tanto a nivel organizacional (la empresa en la que trabaja) como a nivel personal, se tratará de llevar a cabo una auditoría de la información. En la actualidad, lo que hacemos normalmente es “adaptarnos” nosotros a las fuentes de información que existen en el mercado (incluso aunque podamos personalizar los servicios, nuestra elección es muy limitada). En el futuro próximo podrás definir qué inputs de información necesitas. Y los productores que sepan capaces de jugar este “juego de transacción informacional” puede que se queden con la mayor parte del mejor mercado... 2) Aunque los receptores reciban la información que mejor responde a sus necesidades “auditadas”, de nada les servirá si no disponen de capacidad de interpretación de esa información. Utilizando una metáfora: de nada sirve tener información codificada si no disponemos del decodificador. Si no estamos entrenados para sacar el adecuado rendimiento de la información, la calidad de la información obtenida se desvanece. No hay información si no hay quien la entienda... La información en abstracto no existe... Por tanto, invertir en “cultura de la información”, en saber usar la información, será crítico. Y los productores de información tendrán una labor importante a la hora de instruir a sus usuarios sobre cómo usar la información que ofrecen. En otras palabras, no será tan importante la información como la “información sobre cómo usar esa información” (la metainformación?). Quién ofrezca el mejor manual de instrucciones de uso de la información se llevará lo mejor del mercado... 3) Será también fundamental desarrollar nuevas herramientas de productividad informacional. Instrumentos, métodos, sistemas, que permitan absorber mayor información en menor cantidad de tiempo. Este es un campo fascinante, en el que me voy introduciendo poco a poco. Y una de las facetas más interesantes en el mismo es el de la “visualización de información” (utilizar ingenios visuales para hacer más metabolizable la información). 4) Será también preciso que los emisores y los receptores de información apalanquen la enorme capacidad del cerebro humano para hacer conexiones entre lo aparentemente inconexo. Las informaciones acumuladas en neuronas lejanas se conectan a través de sinapsis intermedias, y conciben perspectivas nuevas sobre problemas inicialmente lejanos. Que las fuentes de información aumenten, potencien, nuestra capacidad de análisis metafórico (unir conceptualmente lo aparentemente disconexo), será de gran utilidad. Ya tenemos bastante input desagregado... El sentido (meaning) procede de la conexión de los inputs... En fin, en la era de la información, saber manejar la información no sólo será crítico para las organizaciones, sino que será la garantía de “empleabilidad” de los profesionales. Y, justamente por ello, estaremos dispuestos a pagar por “nuestra” información... la cantidad de dinero que haga falta...

Conocimiento El último estadio en este desarrollo conceptual, corresponde al conocimiento. Se ha dedicado en el texto un apartado a describir qué entendemos por conocimiento, cuáles son los tipos básicos de conocimiento (tácito y explícito), y cómo se produce la creación de conocimiento en una organización a base de intercambios constantes entre conocimientos tácitos y explícitos. Baste aquí decir que la “metabolización” de la información, su conversión en estructuras mentales, generalmente permanentes, lleva a la creación de conocimiento en nuestras mentes. Así, un determinado contexto nos lleva a interpretar los datos seleccionados (capta) de una determinada manera; en ese acto hemos creado información. La combinación de esa información con otras informaciones nos puede llevar a crear un modelo de interpretación (reflexión y análisis), nos permite llegar a conclusiones (síntesis), hace que nos surjan ideas nuevas (abstracción), de manera que puede decirse que hay un antes y un después en nuestro estado mental. La formación de conocimiento, como el proceso de formación de información en nuestras mentes, es un proceso fundamentalmente humano, que una máquina aún no puede realizar. Es cierto que las organizaciones atesoran conocimiento en forma de procesos y métodos, pero este conocimiento formalizable, es el resultado de convertir en forma explícita un conocimiento tácito almacenado exclusivamente en forma humana. La transmisión de datos era fácil. La de información era más compleja, y requiere algún tipo de acuerdo mutuo entre emisor y receptor sobre el significado de lo transmitido (un código común de significado, relevancia e interés). Pero la transmisión de conocimiento es realmente compleja, y se ha realizado tradicionalmente mediante el contacto, el trabajo conjunto, de las personas. La Figura A3-1 ilustra las conexiones entre datos, capta, información y conocimientos

Lenguajes de representación de datos, información y conocimientos Los lenguajes utilizados para la transmisión de datos, información y conocimientos tienen cada uno sus características diferenciales: • Los datos pueden ser transmitidos mediante un lenguaje descriptivo; basta con el acuerdo sobre el significado de unos símbolos que describen hechos concretos. Una lista de temperaturas en grados Celsius, una línea de programa informático, una partitura musical, son ejemplos de datos inconfundibles, si ambas partes conocen el lenguaje simbólico utilizado. • La información, en cambio, requiere un lenguaje explicativo, puesto que conlleva una interpretación de los hechos; el emisor tiene que “arropar” los datos con su interpretación, y debe explicar al receptor en qué contexto ha realizado su interpretación. En un determinado acontecimiento, es justamente la diferencia de contextos de cada cuál el que hace que un mismo hecho sea interpretado de maneras distintas, y que distintas personas den distintas versiones e interpretaciones de las mismas, haciendo uso de sus conocimientos, pero también de sus modelos mentales y de sus prejuicios. • El conocimiento, por su parte, requiere para su transmisión un lenguaje más emocional. No se trata de enviar bits o de transmitir una interpretación, sino de establecer un intercambio, una transacción, entre lo que el emisor sabe y lo que el receptor sabe. Hay transmisión de conocimiento si el receptor acepta el valor de lo que se le transmite, y lo metaboliza para que pase a formar parte de su conocimiento. Este acto, que podría parecer puramente mecánico, tiene una gran componente psicológica: sólo quién quiere aprender aprende. Y para conseguir que el receptor valore y digiera lo que se le envía, debe abrir su mente, en respuesta al estímulo que le envía el emisor. Resulta, pues, fundamental, que se exploren los mecanismos de orden psicológico que facilitan el intercambio de conocimientos, puesto que, de no tenerlos en cuenta, todo el esfuerzo en el desarrollo de un sistema de información puede fracasar. Información estructura y no estructurada A pesar de la precisión con la que se han utilizado aquí los términos datos, información y conocimiento, la realidad es que en la práctica diaria se confunden entre sí en dos tipos básicos de “información”: • Información estructurada, aquella que tiene una respuesta “clara y distinta”, precisa. Normalmente, se trata de datos puros, o de información que tiene

un sentido claro en el contexto de la organización, resultado de un acuerdo sobre significados. Por ejemplo, el número de personas que viven en Barcelona constituye una información muy estructurada (aunque la respuesta exacta pueda ser en realidad desconocida, hay un acuerdo sobre la precisión máxima que puede pedirse a este tipo de estadísticas). O, el ranking de empresas en el sector químico español es también una información estructurada, siempre que haya acuerdo sobre cuales son los criterios “generalmente aceptados” sobre las variables a tener en cuenta para hacer tal ranking. O, una empresa puede considerar como información muy clara una determinada medida de la evolución de sus ventas (un ratio que ellos mismos hayan definido), cuando tal variable pueda no tener ningún sentido en otra empresa. • Información no-estructurada, aquella que no tiene una respuesta clara, que no es posible responder de manera precisa sin incorporar algún tipo de interpretación más allá del acuerdo sobre el significado de los términos. Por ejemplo, la pregunta “bajará el euro los tipos de interés” no tiene una respuesta clara, entre otras cosas porque hace intervenir la variable futuro, que no es predecible. La respuesta obvia a tal pregunta es “puede que sí, puede que no”, depende de qué modelo se utilice para analizar la cuestión. O la pregunta “cuáles son nuestros mercados potenciales”, también requiere un elevado nivel de análisis; y los mercados que un grupo identificará no tiene porque coincidir con el que otro grupo pueda detectar. Por otra parte, hay un tipo especial de información no estructurada, especialmente peligrosa en las organizaciones, consistente en los rumores, información que sin decir nada en concreto presenta una forma aparente de decir mucho. Finalmente, algunos expertos, en un intento de precisar aún más en estos conceptos algo escurridizos, han definido la información semi-estructurada como la correspondiente a una situación intermedia, con algunas características de la estructurada y otras de la no-estructurada.
EXTRA!-NET Mensaje 486 10/02/2000 Comunicamos más de lo que simplemente decimos... Se me ocurre hoy construir el mensaje alrededor de una simple anécdota. Pasaba por delante de un portal en una calle de Barcelona justo en el momento en el que una mujer pulsaba el timbre de un portero automático. Del aparato ha surgido un simple monosílabo (“sí?”), que la mujer ha contestado con otro (“yo!”). Acto seguido, la puerta se ha abierto... Algo muy simple, que ocurre miles de veces cada día, ya sea en el portero automático o en el teléfono.

Pero es algo que nos tiene que hacer pensar... Hay un montón de entrenamiento en nuestras mentes para que el acto citado sea eficiente... Por un lado, debemos saber que para entrar hay que apretar un botón, que el monosílabo “sí?” quiere en realidad decir “quién eres?”, y que la respuesta “yo!” en realidad está indicando, no mediante la simple palabra, sino mediante el tono de voz, quien es el que está solicitando entrar... Así, de la manera más sorprendente, con 4 letras se ha desarrollado un acto muy complejo... que alguien unos pisos más arriba haya podido permitir la entrada a alguien muy concreto con el que tiene alguna relación (el detalle de esa relación no lo he podido descifrar...) La pregunta es... tenemos algo parecido en la Red? Puedo mediante tan parquedad de bits realizar algún acto? Puedo imaginarme una comunicación con alguien, al otro lado de la línea, con tal eficiencia en los símbolos? Los jóvenes están desarrollando una especie de lenguaje eficiente en las redes... ya sea mediante los símbolos que utilizan en los chats (herencia de los “emoticones” que usábamos mucho antes, como el “:-)” para indicar que estás contento), o mediante las reducciones de palabras que utilizan en sus teléfonos móviles (por ejemplo, “kdmos” por “quedamos”...) Pero esto no debe quedar en una simple anécdota... Hace unos meses tuve la ocasión de asistir a un muy interesante curso sobre “Prágmatica”. Esta es una disciplina, muy próxima a la lingüística, que estudia por qué “comunicamos más de lo que decimos”, o sea, cómo al decir algo, al “proferir” unas palabras, en realidad estamos diciendo mucho más. En ese curso, el Dr. Eduard Bonet utilizó un ejemplo muy interesante, que después he usado en algunas clases... Imaginémonos que empiezo la clase a las 9 en punto de la mañana... y que a las 9:30 llega alguien tarde y entra en el aula... Yo le respondo: “Buenas noches!". Tanto para la audiencia como para el afectado, resulta obvio que no es de noche... y que, por tanto, mi frase no puede ser entendida como una expresión meramente descriptiva de una situación... sino que indica, por el contrario, que lamento que haya llegado tarde... La pragmática es una ciencia muy interesante, que nos enseña mucho de cómo hablamos y comunicamos. Y básicamente nos dice que en todo mensaje hay una señal (un conjunto de símbolos, que deben ser transmitidos de manera correcta: cosa que analiza la sintáctica), un significado (cosa que analiza la semántica), y que persigue cierto efecto (cosa que cae en el dominio de la pragmática). Una manera muy fácil de introducirse en el tema es mediante un librillo genial, de George Yule, publicado por Oxford University Press, con el título "Pragmatics". Si, por ejemplo, yo digo la palabra “kavalo” nadie entenderá nada, porque es sintácticamente incorrecta. La palabra sintácticamente correcta es “caballo”. En el contexto de una granja, está claro lo que digo si digo “mira como corre el caballo”.

Pero la misma frase significa algo muy diferente si la digo en una fiesta donde se consume droga... El hecho de que nuestro lenguaje cotidiano esté plagado de metáforas, de frases hechas, de referencias a tradiciones culturales, etc, hace que no podamos entender nada si simplemente nos atenemos a la precisión sintáctica... Esta es, precisamente, una de las principales dificultades en el desarrollo de “artefactos” informáticos capaces de “entender” nuestro lenguaje natural... Todo lo que hemos dicho creo que es de una importancia fundamental a la hora de entender Internet como instrumento de comunicación, ya sea el correo electrónico o el Web. Porque si no entendemos que la comunicación de los humanos depende del contexto y del bagaje cultural, poco vamos a comunicar. El Web puede, por tanto, que diga mucho, pero quizás no comunica nada... algo grave en esta “economía de la emoción”, como ya hemos dicho en otras ocasiones. Y la cosa se sofistica más si incluimos en el discurso imágenes que "comunican más de lo que ilustran"... (Figura A3-2).

Documentos Las organizaciones almacenan sus datos en bases de datos. El análisis y estructuración de estos datos pueden generar información, aunque para que podamos considerarla como tal, alguien debería resultar informado. La información recibida puede acumularse en la mente del receptor, en su memoria humana, para que la pueda recordar permanentemente; aunque sería más realista decir que la recordará durante el tiempo en que le sea necesaria. Sin embargo, el receptor puede optar también por no memorizarla y conservarla en algún tipo de soporte, como papel o un ordenador, a la que podemos referirnos como memoria soporte y a la que el receptor puede acceder cuando lo necesite. Así pues, la habilidad para organizar y mantener esta memoria soporte constituye un complemento fundamental de la memoria de las personas, que es limitada, y por ello se desarrollan sistemas de organización de la información, ya sea en el terreno personal como en el organizativo. Se trata de una disciplina a menudo olvidada o exclusiva del ámbito de los especialistas en organización de la información, como bibliotecarios y documentalistas, pero que va adquiriendo cada vez más relevancia en el diseño de sistemas de información. Esta disciplina centra su investigación en la observación y el análisis de cómo las personas organizan (categorizan) espontáneamente la información de que disponen y cómo buscan información cuando la necesitan, con el fin de derivar sistemas que permitan recuperar 1 la mayor cantidad de información relevante 2 posible. Por lo general, las personas o las organizaciones guardan información en la memoria soporte en forma de documentos3, concepto cuya definición plantea algunas dificultades. Sin embargo, está bastante aceptada la definición de documento como “cualquier fuente de información, en forma material, susceptible de ser utilizada para consulta, estudio o prueba”, de la que son ejemplos “manuscritos, materia impresa, ilustraciones, objetos de colección o museo, etc”4. Así, un libro o un artículo son documentos, puesto que son colecciones de símbolos y signos organizados que podemos utilizar como fuente de información. Son también documentos las notas tomadas en una reunión, un pedido enviado por fax, el catálogo de un competidor, la reclamación de un cliente enviada por correo o una pregunta enviada por correo electrónico al servicio de atención técnica de una empresa. 1

Todos estos documentos se organizan en distintos tipos de archivos5: los libros en la biblioteca, los artículos en las carpetas personales de quienes los tienen que utilizar o los pedidos en los archivadores del departamento de ventas. Para poder encontrarlos cuando convenga, estos documentos tienen que estar organizados de alguna forma. A menudo, la forma concreta de organización depende del tipo de documento concreto. Así, los libros se almacenan en una biblioteca, donde se ordenan de acuerdo con algún criterio de clasificación o de catalogación, en el argot de los bibliotecarios, y se crea un registro con los datos básicos de descripción, de qué libro es trata, y localización, dónde está dentro de la biblioteca. Por lo general, estos registros se almacenan en algún tipo de soporte informático que facilite su recuperación, es decir, en una base de datos. A menudo estas bases reciben el nombre de bases de datos documentales puesto que suelen permitir la búsqueda de documentos mediante términos de búsqueda que el sistema localiza en el conjunto del texto o en una parte suficientemente descriptiva, como un resumen. Podemos organizar de maneras similares los demás tipos de documentos antes mencionados o, simplemente, ordenarlos sin tener que recurrir a ningún tipo de sistema. En muchas pequeñas empresas, por ejemplo, los pedidos de los clientes todavía se organizan en archivadores físicos, siguiendo el orden alfabético de los nombres de los clientes y el orden cronológico de la fecha de la operación. Otra alternativa consiste en escanear estos documentos y guardarlos en formato óptico, magnético o digital. A pesar de esta gran variedad de alternativas para organizar documentos, es absolutamente necesario diferenciar los documentos originales que vamos a organizar, la entidad física, de sus representaciones6, los registros en una base de datos que nos permitirán localizar y recuperar el documento original o una copia, si el original se conserva como imagen escaneada, por ejemplo. Cada vez más, las organizaciones deben procesar documentos no incluidos en los ejemplos anteriores. Actualmente, mucha información se presenta en formato multimedia, con fotografías, vídeos, imágenes generadas por ordenador o sonido. Esto obliga a ampliar el concepto de documento y diseñar sistemas de organización y archivo adecuados. En este punto, es necesario entender el concepto documento de una manera más amplia. Así, por ejemplo, aunque podemos considerar como documento una fotografía del escaparate de un competidor, porque aporta información que puede ser analizada y empleada, ¿lo es también la fotografía del abuelo del propietario que está colgada en la recepción de una empresa? ¿Por qué una piedra de río no es un documento cuando tropezamos con ella en un paseo por el campo y en cambio lo es cuando la contemplamos a través de las vitrinas de un museo? Y todavía más, ¿por qué no lo es un antílope que corre por la sabana y si que lo es 5 6

cuando, normalmente contra su voluntad, lo vemos en un zoológico? (Buckland 1997, p806, citando a Briet 1951). La respuesta, obvia por otra parte, es que son documentos cuando aparecen dispuestos de modo que puedan ser observados, analizados o estudiados. Un documento sería, pues, todo aquello que ha sido organizado para permitir su observación, análisis o estudio, por lo general con la intención de que alguien resulte informado. Según la definición de Briet (1951), “un signo físico o simbólico, conservado o registrado, cuya intención es representar, reconstruir o demostrar un fenómeno físico o conceptual”, es decir, una evidencia física organizada. 7 Bibliografía Branscomb, A.W.
